Proposal Specialist

W2 Contract: 5-6 Month Contract (September - February-March)

Onsite (5 days a week)

Location: St. Louis, MO (Ballwin, MO)

Calculated Hire is seeking Proposal Specialists to join a Fortune 500 Telecommunications client during their peak E-Rate bid season. This team is responsible for responding to hundreds of small E-Rate bids across state, local, and educational sectors—not just a single project. This is a fast-paced, deadline-driven environment where attention to detail and organizational skills are key.

You will play an important role in simplifying the sales cycle by creating compelling proposals and marketing materials that win business. While experience in proposal writing is ideal, strong writing skills, organizational ability, and adaptability are just as critical.

What You’ll Do

• Create accurate, timely responses for proposals and bids using Salesforce and internal tools.
• Write and edit proposal content in line with client requirements and brand guidelines.
• Collaborate with multiple departments to gather technical and business information for bids.
• Maintain templates, boilerplates, and a repository of past responses for efficiency.
• Manage the full proposal workflow, from intake to final submission.
• Ensure proposals meet deadlines with accurate formatting and compliance standards.
• Assist with administrative aspects of bid submission (copying, packaging, follow-ups).
• Track and report on proposal performance and recommend process improvements.

What We’re Looking For

• Strong writing and communication skills (creative or technical writing experience preferred).
• Excellent organizational skills with the ability to manage multiple priorities under tight deadlines.
• Comfort working independently and sending professional emails to new contacts.
• Solid computer proficiency; Salesforce experience is a plus (but not required).
• Ability to adapt quickly and thrive in a fast-paced environment.

Preferred but not required:

• Prior experience with proposal writing, marketing, or sales support.
• Understanding of telecom terms or industry knowledge.
• Internship or entry-level business experience

Education

• Bachelor’s degree in English, Business, Communications, or a related field preferred (or equivalent experience).
